Effortless Field Security in Dynamics 365 Business Central? Meet Our New Copilot Generator!

At 2-Controlware, we understand that managing security in Business Central is crucial. We also know that setting up granular, field-level permissions in Dynamics 365 Business Central can sometimes feel like navigating a maze, requiring specific table IDs, field numbers, and juggling permission sets. While powerful, it can be time-consuming and demand significant technical know-how.

That's why we asked: what if you could just tell Business Central what you want?

We're thrilled to announce that the latest update to our Field Security app brings exactly this capability to the table! As showcased in our new feature demonstration video, we've integrated AI-powered Copilot capabilities directly into the field security setup process, making a complex task remarkably simple.

From Technical Jargon to Natural Language

We recognized the core challenge: translating business security needs (like "Only Peter from purchasing should edit vendor fields on the item card") into the specific configuration Business Central understands.

Our solution? A "Suggest with Copilot" button right within the Field Security List in our app.

Here’s how we've revolutionized the process, as shown in our demo:

  1. Describe Your Need: Instead of digging for table numbers, you simply type your requirement in plain English. The example used is: "I want to allow the purchase and vendor related fields on the item for user Peter."

  2. Copilot Does the Heavy Lifting: Our integrated AI analyzes your request. It identifies the relevant table (Item), understands the context ("purchase and vendor related fields"), finds the specified user ("Peter"), and even pinpoints the likely permission sets involved.

  3. Review the Proposal: Copilot doesn't just blindly apply settings. It presents a clear "Field Security Proposal," showing the identified table, the specific fields it suggests restricting or allowing, and the keywords it found in your prompt.

  4. Refine and Confirm: You remain in control. Our demo shows how easily you can review the proposed list of fields and deselect any that aren't quite right (like removing the "CO2 Last Date Modified" field in the example). You can also verify the linked permission sets. Once satisfied, a click on "Confirm" creates the field security record automatically.

  5. Test Instantly: The video effectively demonstrates the result. After the rule is created, the user logs in as "Peter." An attempt to modify a disallowed field (like the Item Description) results in a clear permission error. However, modifying an allowed field (like the Vendor Item No.) works perfectly, and the record saves.

Why This Matters

This Copilot integration isn't just a neat trick; it offers tangible benefits to our users:

  • Speed: Drastically reduces the time needed to configure field-level security.

  • Ease of Use: Opens up advanced security setup to users who aren't necessarily BC technical experts.

  • Reduced Errors: Minimizes mistakes that can occur when manually looking up field and table IDs.

  • Increased Efficiency: Frees up administrators and consultants from tedious configuration tasks.

The Takeaway

Setting up detailed security rules is essential for compliance and data integrity. At 2-Controlware, we've cleverly leveraged AI to streamline this critical process within Dynamics 365 Business Central. By translating natural language into precise security configurations, our Field Security Copilot generator makes robust security more accessible and faster to implement than ever before.

If managing field-level permissions in Business Central has been a pain point, we believe our new Copilot feature is a game-changer worth exploring.
