The Template module within Authorization Box

User management in Business Central

The moment an employee joins or changes positions, this must be properly processed in Business Central. You do this by adding a new user. This requires the creation of records in several places. For example, you need to fill out a new user card, populate the user settings and approval settings, and much more.

When leaving service or changing the employee role, these records may need to be updated or even deleted. These steps are hugely error-prone, and the chances of forgetting something somewhere are not inconceivable. Fortunately, Authorization Box includes features that can support you in this process.

Support within Authorization Box

Our User Template module within Authorization Box supports you in this process by automatically setting, modifying or deleting all these settings based on the organization role. This module consists of several components, namely: Master Templates & Templates, Pre- and Post Actions, Procuration Templates, and Free Fields.

  1. Master Templates and Templates.
    With the master templates and templates it is possible to automatically populate fields based on a fixed value, information from the user card, data related to an organization role, or from a nr series. Templates are triggered when assigning or revoking an organization role.

    With the templates, it is possible, for example, to automatically populate personal data such as e-mail and phone number in the user settings, as well as to automatically pass organization role-specific information such as rights to approve timesheets.

  1. Pre- and Post Actions
    Pre- and post-actions are actions performed before or after an organization role is assigned. A first action is that templates are used to populate or delete records based on the completed template. A second action is that there are batch actions that can go off automatically. Batches are code units or reports that go off before or after an organization role is assigned.

    For example, it is possible to create a code unit that automatically creates timesheets for the entire year after assigning an organization role.

  1. Procuration templates
    With the procuration template, you can easily set up your procurations within Business Central. In the template, you appoint an approver and a substitute. Furthermore, you can set approval limits.
  1. Free Fields
    The free fields page allows you to define table fields that you can use to set up templates. Within the module you have free fields user, these fields are on the user card, and free fields organization role, which are on the organization role. This allows you to add organization-specific fields without costing you extra customization. This gives you plenty of options for setting up the templates.
