Creating a New User
Only an Application Manager has the authority to create a new user in the Authorization Box. Follow these steps:
- Navigate to Setup: Open the Authorization Box and go to the Setup section.
- Access User Settings: Select General and click on the Users FastTab.
- Add a New User: Click the New button, enter the user's contact email address, and save the details.
Once the user is created, further configurations such as function profiles and database connections can be assigned.
Assigning a Function Profile
A Function Profile determines the level of access and permissions a user has within the Authorization Box. Assigning the correct function profile ensures that users can perform their required tasks effectively.
- Users can have multiple function profiles assigned to them.
- If the user will interact with the API, assign the API User function profile.
- If a dedicated API user is needed, assign only the API function profile.
- The Application Manager has no limitations and has full access.
To review the assigned rights, navigate to the Roles fasttab on the usercard.
Managing Database Connections
To control which database connections a user has access to:
- Navigate to the Databases FastTab in the user settings.
- Click the Select Button to view and manage database connections.
- Default Access: By default, new users are assigned access to all existing connections.
- Modify Access: If a user should not have access to certain databases, remove those connections accordingly.
After these steps, the new user will receive an email with a temporary password, which must be changed immediately upon first login.
Setting Up Notifications
Users can configure notifications to stay updated on important activities. Notifications can be set up as follows:
- Go to the Username Menu: Click on the username in the top right corner.
- Choose Notification Settings: Select the notification preferences by choosing "Yes" under the relevant options.
- Types of Notifications: Users will receive notifications either via the notification icon within the Authorization Box or as an email, depending on the type selected.
Important: Users who are not designated as approvers will not receive notifications for approval requests, even if notifications are enabled.
Conclusion
By following these steps, you can successfully manage user access within the Authorization Box. This ensures that users have the necessary permissions, appropriate database connections, and relevant notifications configured for a seamless workflow.
